VOLUNTEER AT JUNGLE PARTY

Volunteers are the backbone of Jungle Party 

The first Jungle Party was organized by a small group of Junior League volunteers 35 years ago, and the event raised more than $1,500 for zoo operations. Today, more than 300 volunteers generously donate over 3,700 hours to Jungle Party.

Volunteers comprise Jungle Party’s Executive Committee, Auction Procurement Team and Operation Crews. The wide range of duties include fundraising, strategic planning, auction item procurement, production/auction support, and administrative assistance.

 

General Volunteer Information

What is Jungle Party?
Jungle Party is Woodland Park Zoo’s annual fundraising event and auction. Proceeds help support animal care, conservation and education programs at the Zoo.

Date and Location
Friday, July 12, 2013 at Woodland Park Zoo's North Meadow. Please enter and exit via the South Entrance.

Volunteer Training
Jungle Party Volunteer training will be held on Monday, June 24, 2013 at 6:00pm at Woodland Park Zoo’s Education Center - South Gate. Learn your position, meet your Team Captain and interact with your team members! This is mandatory; even if you are a returning volunteer, you must attend this training to volunteer the night of Jungle Party.

Volunteer Parking
On July 12, 2013, volunteers may park and enter via the South Gate Entrance at the intersection of North 50th Street & Fremont Ave North after 3 p.m. The North and West Gate parking lots will be CLOSED for volunteer parking on the day of Jungle Party.

Volunteer Check-In/Check-Out
Please arrive at the zoo 30-minutes before your job assignment is scheduled to begin, unless otherwise instructed. Proceed to check-in at Volunteer Central, located in the Rainforest Food Pavilion. Your belongings may be stored there, but please leave valuable items at home, for this is not a secure area. Upon completion of your volunteer assignment, please checkout at Volunteer Central.

Volunteer Dress Code & T-Shirt
Volunteers receive a complimentary t-shirt, which is to be worn at the event. Volunteer t-shirts are handed out at Volunteer Training on Monday, June 24th, 2013. Please request your t-shirt size on the Volunteer Registration Form. Volunteers are asked to wear the Jungle Party Volunteer t-shirt, black bottoms and very comfortable shoes.

Volunteer Dinner
Volunteers receive one dinner ticket, which is redeemable for the volunteer meal provided at the Rain Forest Food Pavilion. Unlimited water and non-alcoholic beverages will also be available at this location throughout the event. Please note that alcohol bars, latte cart and patron food are for guests only.

Volunteer Conduct

Jungle Party volunteers must refrain from drinking alcohol, smoking, and eating the guests’ food while volunteering at Jungle Party. This will be strictly enforced, and breaking these rules will jeopardize one’s ability to participate in future Jungle Party events. 

 

 

Production Opportunities

Bank POSITION FILLED
Be a member of the cashier team and greet guests, gather invoices, stamp receipts and file, run receipts and reports, and fulfill other duties as assigned by your Team Captain.
Time Commitment & Physical Ability:

  • 6:00 – 7:00pm on Monday, June 24, 2013
  • 6:30pm to end of evening on Friday, July 12, 2013
  • Must be able to sit for long periods of time

 

Giveaway Sales POSITION FILLED
In teams of two, volunteers promote and sell the Ben Bridge Giveaway and other auction merchandise during the reception and Live Auction. Volunteers collect completed bid sheets and deliver them to Bank throughout the evening. Volunteers will also help manage the first ever Jungle Party Wine Wall!
**Volunteers must be willing to learn Jungle Party facts because guests will inevitably ask them questions while performing this job. Sample questions are…Where are the Live Auction bid cards located? What time does Bank open for checkout? When does the Super Silent Auction close? Can someone assist us with our auction items to the car? Who is the caterer? Are peanuts in the menu? All of this information will be provided at volunteer training.

  • Must be comfortable walking and standing for long periods of time

 

Hospitality POSITION FILLED
Assist with a variety of jobs – assist with Registration queue, answer guest questions, provide customer service at the information booths, monitor restrooms for supplies, handle lost items (lost & found), and oversee late evening coffee station at the North Gate.
Time Commitment & Physical Ability:

  • 6:00 – 7:00pm on Monday, June 24, 2013
  • 4:15pm to end of evening on Friday, July 13, 2012
  • Must be able to sit for long periods of time and be comfortable walking long distances

 

Item Safekeeping & Pickup POSITION FILLED
Very Active Position - As the auctions close, volunteers package, box and transport auction items into the Item Safekeeping & Pickup area and organize them by bidder number. As guests present Item Safekeeping & Pickup with a PAID receipt, volunteers retrieve their auction items.
Time Commitment & Physical Ability:

  • 6:00 – 7:00pm on Monday, June 24, 2013
  • 6:00pm to end of evening on Friday, July 12, 2013.
  • Must be comfortable standing and walking for very long periods of time, as well as loading heavy items (up to 25lbs.)

 

Live Auction Runner POSITION FILLED
Runner retrieves Live Auction bid sheet from the Live Auction Recorder and takes it to the winning bidder for his/her signature. At the same time, the runner delivers a gift to the winning bidder and returns the signed bid sheet back to the Live Auction Recorder. At the direction of the Live Auction Recorder, the Runner delivers signed bid sheets to Bank every 5-10 minutes during the Live Auction.

  • 6:00pm to end of evening on Friday, July 12, 2013
  • Must be comfortable walking for a long period of time and spending a lot of time on your feet

 

Live Auction Spotter POSITION FILLED
Spotters help the auctioneer locate guests bidding on Live Auction items. They do so by quickly pointing a flashlight at the auctioneer from the bidder’s position. When the auction item has been successfully bid on, a Spotter does the same from the winning bidder’s position, which helps the Live Auction Runner locate him/her. Spotter must stay put by the winning bidder until the Runner arrives to his/her location.

  • 6:00 – 7:00pm on Monday, June 24, 2013
  • 6:00pm to end of evening on Friday, July 12, 2013
  • Must be comfortable standing in one spot for extended periods of time

 

Registration POSITION FILLED

Volunteers label and alphabetize 900 bidder bracelets the night prior to Jungle Party. During the event, volunteers welcome and check-in Jungle Party guests, process new ticket purchases, confirm guest contact information for existing reservations, and handout bidder bracelets, answer guest questions, help guests activate BidPal on their personal devices, and deliver guest change forms to Bank.

  • 6:00 – 7:00pm on Monday, June 24, 2013
  • 6:00-9:00pm on Thursday, July 11
  • 3:30-8:00pm on Friday, July 12, 2013
  • Must be able to do repetitive movements for long periods of time, as well as sit for long periods of time

 

Silent Auction I & 2 POSITION FILLED

Roam Silent Auction areas and assist guests with the use of BidPal (special training on this device will be provided). Must be prepared to answer questions about auction items, using BidPal, and the event in general. This role requires ability to learn and be comfortable with technology (particularly iPhone and iPod technology).

  • 6:00 – 7:00pm on Monday, June 24, 2013
  • 3:30 p.m. to 7:30 p.m. on Friday, July 12, 2013
  • Must be able to be on your feet for long periods of time

 

Super Silent & Zoo Experiences POSITION FILLED

Roam Super Silent Auction and Zoo Experience Auction areas and assist guests with the use of BidPal (special training on this device will be provided). Must be prepared to answer questions about auction items, using BidPal, and the event in general. This role requires ability to learn and be comfortable with technology (particularly iPhone and iPod technology).

  • 3:30 p.m. to 8:00 p.m. on Friday, July 12, 2013
  • Must be able to be on your feet for long periods of time

 

Procurement Opportunities

Procurement volunteers secure donations from January 1 to May 1 for Jungle Party’s silent and live auctions. In recent years, 11 procurement volunteer helped secure 600 auction items valued at nearly $400,000! Donations fall under the following categories: art, jewelry, entertainment, trips, sports, home & garden, food & wine, family and lifestyles. Procurement volunteers utilize personal contacts, call upon community businesses and solicit local organizations for exciting and unique auction items and experiences.

While volunteers are assigned to a Procurement Team, procurement volunteers work independently and devise their own work schedule. Whether or not you have prior procurement experience, the Jungle Party staff provides all the materials and training necessary to be a successful procurement volunteer.
